Instruction for Accessing and Managing the Client Accounts

1 Introduction

The Client Account is used by Clients to enter and update the contents of their Job Slot Vacancies, enter/change details of their Administrators, view job click-through/application statistics and to search the CV database. If Clients require more or less Job Slot Vacancies, or wish to change any of their company's details (e.g. address, phone number etc) - please contact sales on 01323 872810.

2 Logging in

Log in to the system by entering the URL of the company in your browser. Alternatively, there is a hyperlink from the homepage entitled ‘Advertiser Login’. After the login screen has loaded, enter the user name and password that you have been assigned. An incorrect user name or password will return an error message indicating that the login failed.

3 Company Administrators

To manage its Client Account, a Client will be required to designate at least one Administrator. Jobs on the system will subsequently be linked to the Administrator that posted them.

3.1 Adding new Administrators

Click the ‘Administrators’ hyperlink. Next click the ‘ADD NEW ADMINISTRATOR’ link to bring up the administrator form. Create as many Administrators as you require.

3.2 Editing Administrators’ Details

If an Administrator’s details change, bring up the administrators list, through the ‘Administrators’ link and click the ‘edit’ icon.

3.3 Deleting Administrators

Administrators can easily be deleted by viewing the administrator list and clicking the red ‘x’ icon. If the administrator to be deleted has a workload that you wish to assign to a new administrator, use the ‘EDIT’ function instead, then overtype the new details. This will reassign all the jobs from the old administrator to the new one. IF YOU DELETE AN ADMINISTRATOR WHO STILL HAS JOBS ASSIGNED TO HIM/HER THEN ALL THOSE JOBS WILL BE RESET TO BLANK SLOTS.

3.4 Reassigning Administrator Responsibility

If you need to divide Job Slot Vacancies already linked to an Administrator between other Administrators, click the ‘Job Slots’ hyperlink. Then select the required administrator from the left dropdown menu and select the ‘my jobs’ option from the right dropdown menu. Select the ‘Edit’ button on the Job Slot Vacancy and change the Administrator name in the dropdown menu at the bottom of the page to that of the new Administrator. Once all jobs have been reallocated, you can delete the original Administrator.

4 Editing, replacing and Creating Job Slot Vacancies

4.1 Starting to enter vacancy information

The ‘job slots’ hyperlink at the top of the menu will list Job Slot Vacancies according to the preference selected in the right dropdown (slot) menu. To update this preference, change the menu to the desired option. This preference is now stored. When entering new jobs, you might choose to use blank slots only so that your view is not filled with jobs you have just entered. Alternatively, you might choose to view just your own jobs (having first selected your administrator name in the administrator menu).

4.2 The Job Slot system

All the Job Slot Vacancies are listed with a summary of their contents so that the administrator can decide which current vacancy to replace. If more slots are required, should be contacted. New slots created by will have the word BLANK in them and will be coloured blue, indicating that they have not yet been used.

4.3 Editing, replacing and deleting the contents of Job Slots

Three buttons appear for each filled Job Slot: EDIT, REPLACE, and WIPE. Blank Job Slots only have the REPLACE option. Edit should be used to make small changes to the current listing such as correcting typographical errors, etc. It will also refresh the date of the job being posted on our website. If the job is then selected by a search from our home/search page, the Job Slot Vacancy will appear in the search result listings with a ‘new’ tag by it. REPLACE is used to enter a new vacancy - it presents a blank form, the contents of which will overwrite an existing job. WIPE restores a Job Slot Vacancy to the blank state, which removes the vacancy from the system.

4.4 Bulk updates

The checkboxes by each job vacancy in the list allow bulk options to be performed. The administrator can select any jobs (even on different pages of the list) and then choose to wipe or redate those jobs. Redating sets the jobs to ’new’ again, extending their life (see Section 5.1) and making them more visible.

4.5 Sorting the vacancies

Several of the columns have up and down arrows above them that allow the records to be sorted by the values in that column. This preference will be retained in a cookie.

4.6 Finding particular vacancies

The advertiser section job listing pages have a search feature to find jobs with a particular job reference code or with a particular title. This will also find all job references or titles containing the search text within them, e.g. a search for manag will find all jobs with titles such as ‘sales manager’ or ‘managing director’.

5 Duration of Job Slot Vacancies

5.1 Expiry

Job vacancy ads at do not expire, they remain on the system until replaced or wiped. However the jobs end search does filter out jobs older than a certain age (e.g. 30 days) to ensure that old jobs don’t block up the system.

5.2 Job listing details

This helps the Administrator to keep his or her records up to date and modify or delete Job Slot Vacancies that are out of date or ineffective. Jobs older than the ‘old’ value set in the options (see Section 10) will be shown in red. Note that the options set in this area are the administrators personal preferences for displaying jobs in the Client Account; they don not affect jobs appearing in search results.

6 Entering the vacancy details

When EDIT or REPLACE is selected, a data entry form appears. Most of the fields in the form have an explanation by them as what details are required. Enter or modify details and click SUBMIT to update the database. The system will flag any errors and ask for them to be corrected before proceeding.
